Who we are

PilotLight sets up AI phone receptionists for heating and air conditioning companies. It's run by Eashan Gani in Nashville, Tennessee. You can reach us at reacheashan@gmail.com.

This website

If you fill out the "Start your free pilot" form, we collect your name, company, phone number, and the best time to call. We use it only to call you back about PilotLight. It's stored in our database, and we get a notification that a new form came in. The notification doesn't include your details.

This site doesn't use advertising or tracking cookies. Our hosting provider, Vercel, keeps standard server logs, such as IP addresses, to keep the site running and secure.

We count visits with Vercel Web Analytics, which doesn't use cookies or collect personal information. For each page view it records the page, the site that sent you here, your general location (country, region, and city), and your device type, operating system, and browser. It tells repeat visits apart with a temporary code that's deleted after 24 hours, and it never sees what you type into forms. We also count when someone presses play on the demo recording. We use these numbers only to see how the site is doing.

Calls we answer for HVAC companies

When you call a company that uses PilotLight and they can't pick up, our AI receptionist may answer. It says at the start of the call that it's an AI assistant and that the call may be recorded.

We collect your phone number, a recording and transcript of the call, and the details you give, such as your name, service address, and what's wrong. We use them to book your visit, to send emergencies to the company's on-call technician, to send the company a summary of your call, and to follow up with you about your service request.

We share this information with the company you called, and with the services that run the system for us: Retell AI (phone calls), Cal.com (booking), Supabase (storage), Twilio (text messages), ntfy (call alerts to the company's phone), and Vercel (hosting). They use it only to provide those services.

The call alerts sent through ntfy are kept short. They include at most your first name and last initial, ZIP code, what the call was about, and your callback number, and never your street address.

Text messages

If your call didn't get finished, we may send one text to the number you called from, with a link to book. We send at most one of these a day, and only between 8 a.m. and 9 p.m. local time. Message and data rates may apply.

Reply STOP to opt out, and we won't text you again. Reply START to opt back in.

We don't sell your information, and we don't share mobile phone numbers or texting consent with anyone for their marketing.

Keeping and deleting your information

We keep information only as long as we need it to provide the service. To see the information we have about you, or to ask us to delete it, email reacheashan@gmail.com.

If we change this policy, we'll update this page and the date below.
